How to export your data from Mindbody

Mindbody gives you your client contact details through a report. A complete copy of everything in your account is a separate, paid service that Mindbody offers when you cancel.
These steps were checked in September 2026. Menus move from time to time, so the provider’s own help page is linked at the end. If anything looks different, send us a message and we will walk you through it, or do it with you on a call.
Export your client list
- 1Open the Mailing Lists reportGo to Insights, then Reports, then Clients, then Mailing Lists. You need the "Marketing reports" and "View all clients" staff permissions, and the report is part of certain Mindbody packages.
- 2Include everyoneSet the filters to include active and inactive clients, then choose Generate.
- 3Export to ExcelChoose Export to Excel. Run it for the email list and for the mailing list view if you want addresses too.
Check your contract before you switch. Mindbody agreements run for a fixed term and renew unless you give notice before the end date. Tell us your renewal date and we will plan your move around it, so you never pay for two systems.
Large exports can time out. If that happens, run the report one year at a time. Birthdays in this report come without the year, so we leave them empty rather than guess.
Saved card details can never be exported from any booking tool, and we never ask for them. With Stemfra your clients pay you at the venue, so there is nothing to move.

- 1Import the fileIn your dashboard open Clients, choose Import, and pick the file. CSV and Excel files both work. We match the columns for you, and you can adjust any of them before anything is saved.

- 3Swap your booking linkReplace the website and booking link on your Google Business Profile, and in your Instagram bio, with your Stemfra address. From then on, clients book on your own site.
